Another Photo card error URGENT

Hi Mindy,
A customer contacted me with a custom photo card request.
I inserted the photos, sent her a preview e-card so that she can see what the cards look like and told her that I need her OK, that after her OK I would upload the cards to Greeting card universe, where they would be approved, and then would give her the URL to my private gallery ...... so that she can order them there.

"Please email me back if you approve this card, or changes you would like to be made.
After receiving your answer I will upload the card to Greeting Card Universe and ask the Staff to approve the card.
This could take some time, as it's thanksgiving and the staff are on holiday. Things will be back to normal on Sunday/monday.
After the card has been approved, I will email you and you can order it online. I will give you detailed explanations how to do this, as the card will not be visible to the public, and will only be featured in my private gallery on Greeting Card Universe"

Something went wrong - she misunderstood me and ordered the cards (with my daughters  and other vintage photos on it instead of her children!!) already and did not wait for approval - just saw the incoming email:

Don't know if anybody is in the office at the moment, and can stop this order from going to the printers!!!! Will have to email customer again and tell her what went wrong - but what is the procedure now?? Does she get a refund in case the cards are already printed??

Take a breath, relax.......I had a similar issue yesterday and not to worry, GCU will handle this with grace and decorum.  You don't need to do anything. Mindy/Shawn or someone will contact you and let you know how to proceed (or not).  No worries, all is well.

Hi Linda,
uuuuufffff - relax Wink - the first thing this morning, when i woke up, was: how will this problem be solved??
To make matters more difficult: every email i sent to the customer got sent back as undeliverable from "email service" because it "contained spam or a virus"???? so i couldn't even send her a normal email because her firewall (i presume) blocked my emails. I then tried to send her an email containing no htlm or image at all, but that got sent back as undeliverable also  Tongue Tongue
in order to contact her i had to send her an e-card with my text/message underneath the image.
And as she just emailed me the approved images back without saying anything about the wrong cards, i figured that she didn't read my messages, so i sent myself an e-card and saw that it is very possible to just see the card and not the text. When you open the e-card message you can see the card which fills your whole screen. The text is way down below, not visible, unless you scroll down. So somebody not knowing that there is still text underneath the card will not see it embarrassed embarrassed
And i live in Germany, so it would be very expensive to telephone her!
 
Am glad that GCU will handle this with a refund or will even be able to stop the printing of the cards, would hate the customer to be disappointed and have financial drawbacks.
I think that from this problem, a few things can be learned:
1) Toms idea of giving the customer more information about custom photo cards (other thread) and a step-by-step explanation of how this procedure works is great  
2) maybe - when opening an e-card email - the text should be seen first, and then the image
 
Well, it's still early here, will make myself a coffee and see what the day will bring Wink Cheesy

Yes, Barbara, good lessons learned.  I think it is best to just use direct email with them and not use the GCU ecard approach.  The ecard has links which may be a distraction and cause confusion. In a direct email they will see your message text first thing and can reply right back to you if needed.  You can also attach a 1/3rd size version of the card if you really need them to review it.
 
A better approach is to just finish the card and upload it to your private gallery with the new "waive-review" box checked.  It will then instantly be ready to order.  Then send them a link to the card but let them know that you still can modify it if needed (Change Image procedure).  They likely will see the card, like it as-is, and order it, -- then you're done.
 
Using this approach we don't have to mention to them about any review step or any associated delay.  The goal is to capture the sale before they change their mind.  Avoiding excessive back-and-fourths is part of achieving that goal.
 
Congrats on the sale and I hope it all works out.  Thanks for sharing this saga.  It helps us all.

Hi Tom,
I tried that - emailing her directly - since that is the normal procedure with me.
I email direct and include a very small version of the modified card for approval.
But all the emails to this customer came back as undeliverable - so the only option left to me to contact her was the e-card feature.
Wow, am glad with the new feature "waive-review" box! Coool.

I think that the "wave review" is an outstanding option.  I haven't had the opportunity to use it yet (though I sure hope I do in the near future). Wink  Personally I have found it helpful to try out new options myself, either by actually purchasing a card or by simply "pretending" to purchase.  That way if a customer has a question I know what they are talking about.  To date I haven't had a custom request where I didn't speak to the requester via phone prior to the initial design/redesign...I am hopeful that this changes for me, as it does cut into profits.  Although I am certainly not on a par with many of you in figuring out percentages, I guesstimate that 80% of my requests have resulted in more sales, most come from contacts via the initial customer.  How cool is that?

We canceled the photo cards and issued a refund.  Have you had any communication with this customer regarding her custom order?  Please let me know.

Have e-carded her (cannot email her, her firewall prevents it, so have to use the e-card function) Grin
Have been in continous contact with her ever since i noticed that she had ordered the cards with the "your photo here" on it- and have just now ecarded her that a refund has been issued and given detailed explanations on how to get to my private gallery.
Have not yet received a reply.
there is one thing though - customer ordered the wrong cards with the blackfriday promo discount.
Could you please apply that discount to the new order also.
Could you please inform customer about it? You have her phone number/email.
 
I think that Toms idea is very very good .... (hint - hint - hint) after all these hassles  Cheesy
