Hi Sue,
You're way ahead of us Wink  but good thinking.   We probably won't start pulling details together until the end of year this year when we make a go or no go decision.
 
At a very high level here are some thoughts:
1) The GCU booth in general would represent our community at large - all artists.  We would also do some new artist prospecting.  Perhaps we'd feature best selling cards in a handful of categories.
 
2) Artists who wish to participate in person would contribute by:
a) $ contribution
b) Sign up for specific time slots to work the booth
c) Artists would need to be able to tell the GCU story as well as rep. their own cards and other cards/artists if inquired about
 
3) Booth decor would be handled by us and is honestly the largest concern as it can get very $$.  We would really have to get creative on this to showcase our community and offerings within a reasonable budget.

Yes I understand the concern over costs.  Something to think about--if we start early in our planning and find we need say a "52 inch flat screen to flash our card images on" we could probably find a dealer who would donate the screen just for the advertising he would get out of it with his little business cards on our table...you know that sort of thing.  I know someone who just a few years ago opened a ski-resort pub on a shoe string budget.  During its first season the pub became the number one ski-resort pub on the eastern coast.  Well that cleaver fellow got all the dishes, glasses, bar stools, tables,table clothes and even several big flat screen TVs all for free!  There are real possibilities out there for Freebies, Mindy.  Just a thought... Cool  I'll bet we have people in our community who are specialits in this marketing aspect and could give us some ideas and perhaps some people NY savvy who would help.
Oh gosh, can you tell I'm excited about this?  Roll Eyes
